**Job Description**
Executive Support
- Manage the executive's agenda: scheduling meetings, appointments, and travel arrangements.
- Coordinate internal and external meetings, including logistics, document distribution, and follow‑up actions.
- Prepare, format, and proofread documents, presentations, and reports.
- Support email management: prioritization, drafting responses, and ensuring timely follow‑through.
- Act as a liaison between the executive and internal/external stakeholders.
Office & Administrative Coordination
- Organize business trips (flight bookings, accommodation, itineraries).
- Handle expense reports, invoices, and budget tracking related to the executive's activities.
- Maintain confidential files, contracts, and administrative archives.
- Support office operations when needed (procurement, room bookings, logistics).
Project & Meeting Support
- Assist with project tracking, timelines, and documentation.
- Prepare meeting agendas, minutes, and action-item lists.
- Conduct light research and synthesize information when required.
Communication
- Draft internal communications and messages on behalf of the executive.
- Coordinate with teams to ensure smooth information flow and timely updates.
**The Successful Applicant**
**Required**
- Proven experience as an Executive Assistant, Personal Assistant, or Administrative Coordinator.
- Strong organizational skills and impeccable attention to detail.
- Ability to manage sensitive information with high confidentiality.
- Excellent communication skills in English (and other languages if needed) and French.
- Strong command of Microsoft 365 (Outlook, Teams, PowerPoint, Excel, Word).
- Ability to work independently with minimal supervision.
- Professionalism, discretion, and a proactive approach.
Nice to Have
- Experience in an international or fast‑paced corporate environment.
