We are seeking a
**Marketing Operations Coordinator**
to join our Europe Marketing team within a leading pharmaceutical environment. This role is critical for ensuring seamless operational execution across marketing initiatives, financial processes, and cross-functional collaborations. The ideal candidate is highly organized, proactive, and experienced in pharmaceutical marketing administration, marketing operations, or project coordination, thriving in a fast-paced, matrix organization.
**Key Responsibilities**
**1. Marketing Administration & Operations (Primary Focus)**
- Manage administrative processes including vendor registration, contracting, procurement, and payment workflows.
- Ensure documentation compliance with corporate, legal, and regulatory (pharma) guidelines.
- Serve as the primary liaison with internal partners (Procurement, Finance, Legal, Compliance) and external vendors.
**2. Budget Tracking & Financial Management**
- Support annual budget planning, regular tracking, and forecasting.
- Monitor purchase order creation, invoice processing, accruals, and reconciliation.
- Maintain accurate financial records and provide budget status updates to the marketing team.
**3. Marketing Project Coordination**
- Coordinate logistics and execution for European congresses, events, and marketing initiatives.
- Oversee external agencies and vendors to ensure timely delivery of marketing materials and assets.
- Support event planning activities including booth preparation, shipments, registrations, and internal communication.
**4. Process & Systems Support**
- Manage internal systems related to procurement, contracting, compliance review, and digital asset management.
- Optimize workflows and recommend improvements for operational efficiency.
**Qualifications**
- 1–3 years of experience in marketing administration, project coordination, commercial operations, or similar roles.
- Pharmaceutical or biotech industry experience strongly preferred.
- Strong understanding of contracting, procurement, and vendor onboarding processes.
- Hands-on experience with Veeva systems (PromoMats, Vault, MedComms, or equivalent) is a strong advantage.
- High attention to detail and familiarity with compliance-driven workflows.
- Solid project management and organizational skills.
- Proficiency in MS Office (Excel, PowerPoint), procurement platforms, and budget tracking tools.
- Excellent communication and stakeholder management skills.
- Ability to manage multiple projects with precision and meet deadlines.
